Ford & Stanley - The Rail Recruitment Specialists are working with an award-winning transportation business looking to bring an experienced Personal Assistant professional to join their team on a temporary basis.

The Opportunity

My client is looking for a Personal Assistant professional who has experience working directly with a senior leadership team, MP’s, and Government officials. This role will be a varied role and will consist of completing different tasks daily.

Location – City of London

Key Responsibilities 

  • Manage email correspondence, requests and enquiries in a timely manner ensuring that priority items requiring personal attention of the Managing Director are flagged.
  • Prepare presentations, letters, and collate and produce a monthly board report
  • Coordinate internal and external meetings .
  • Prepare expenses,  raise purchase orders, invoices and ad hoc payments  
  • Organise team events and meetings, managing invitations, agenda and all other organisational arrangements .
  • Act as a point of contact and build cross functional relationships with both internal and external stakeholders.
  • Arrange hotel accommodation, external meeting facilities, business travel etc on behalf of the Executive Team and HQ staff .
  • Other ad hoc office duties specific to HQ such as booking meeting rooms, supplying food and drink at meetings, procurement of office supplies and arranging post and courier services.

Essential Criteria

  • Administrative/PA experience at a senior/director level
  • Good knowledge of Google Suite and Microsoft Office applications
  • Minute taking advantageous but not essential
  • Excellent written and communication skills.
  • Flexible and adaptable with an ability to respond to changing demands/priorities
  • Self motivated and able to act on own judgement and initiative
  • Excellent planning and organisational skills and able to meet deadlines
