THE ROLE: The Ancillary Revenue Support will provide efficient, flexible, and proactive support to the ancillary revenue team to enable key decision makers to manage the commercial property estate (c200 properties) and associated processes. This post will cover the wide range of duties required to support the management of the ScotRail commercial estate including maintaining and operating the commercial estate database through the inputting of data, storing files, and extracting reports; utilising available data to support the budgeting and forecasting processes working closely with the finance team and other stakeholders to ensure all financial transactions for the commercial estate are recorded accurately; support communications with tenants and other administrative support as required.


  • Prepare inputs for budget forecasts for rental, utility, waste, and service income based on commercial property tenancy agreements
  • Maintain a database of all tenancy records ensuring it is  up to date, securely stored and reported to support Scotrail portfolio managers in effectively managing all KPI’s such as rent reviews, lease renewals, vacant units, and new opportunities
  • PO and invoice management and reporting for all commercial property, advertising & media, and other ancillary contracts
  • Management of council tax and business rates including exemptions and liabilities. Ensuring all costs are included in relevant budgets for and paid on time
  • Prepare financial adjustments, identifying  accruals and highlighting deferrals based on tenancy records and invoicing ensuring all reporting is accurate and reflective of how the commercial estate is performing
  • Prepare statements of facts to support key decision makers and the implications on the commercial property budget/forecast
  • Regular reviews and with the Finance team including credit controllers and finance business partners
  • Actively contribute to regular meetings regarding estate performance, risks, issues, and successes with key stakeholders
  • Creation and issuing of regular newsletter to all tenants in partnership with colleagues within the business and wider industry
  • Maintenance and management of action trackers that include inputs from colleagues around the business
  • Ensure full due diligence is completed and recorded on new proposed tenants including carrying out reference checks, and liaising with finance colleagues for financial vetting
  • Use all tools available to trace and track down tenants who abscond
  • Provide admin support to line manager and ancillary revenue department
  • Ability to create and develop reports in collaboration with colleagues across the business ensuring the reporting accurately reflect performance, any areas of concern and recommendations
  • Extract key pieces of information from tenancy agreements
  • Adhere to all Scotrail processes including but not limited to EQIA, FOI requests and finance processes



  • Proven track record in understanding and applying finance principles.
  • Financially astute in preparing and delivering net profit/income and expenditure budgets
  • Highly motivated with the ability to manage a large portfolio of work within timescales
  • Creating and issuing appropriate communications for external stakeholders
  • Experience of successfully working under pressure 
  • Excel in organisation and prioritisation of work, with a good attention to detail
  • Tenacious in overcoming obstacles and challenges
  • Previous experience in working with tenancy agreements and other legal documentation
  • Co-ordinating collaborative working with stakeholders across the business
  • Proficient in the use of software packages, in particular Excel


  • Experience in debt collection
  • Management and completion of Purchase Orders
  • CCAB qualification, part qualified or qualified by experience
  • Experience in working within the property industry or managing real estate

Hours of work: 35-hour week Monday – Friday.  Reference Salary: £29,167 per annum (salary review pending)

Selection process: Assessment and Interview may form the initial stages of the selection process. The final stage for successful candidates will be a medical questionnaire. Appointees must submit at least two satisfactory references, Disclosure Scotland clearance and complete a six-month probation period. Training initially involves attendance on our virtual Induction Training Programme.
